Using Countif Function For Multiple Fields From Specific Record
May 28, 2015
Using Access 2010
I'm an expert user in Excel and am trying to learn more about Access, so I relate many of the functions to what they are called in Excel. And what I'm trying to do right now is count the number of fields in a specific record where the value is a specific result (CountIf).
For example, I need to return the number of fields in a specific record where the value is "Meets Requirements". The specific record will be determined by the Name, Contact, and Email fields (which together comprise the Primary Key).
Is there a way to count the values in multiple fields that equal "Meets Requirements"?

I am new to access i have a problem which is i have made a form which contains a subform and a read only subreport, what i want is the ability to select a record in read only subreport as in the picture attached and make a button that when i press on it, it should copy the values of the itemsID field, Packing field, ContainerNo field and origin field from the selected record and then paste them in the subform below.
Also i want to add more then one item, so the when i press on another record it should paste the values below the first record.

OK so here is a working query:
SELECT Assets.*
FROM Assets
WHERE (((EXISTS
(SELECT *
FROM LCAMdump
WHERE Assets.BarcodeNumber = LCAMdump.T_TAG
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((SELECT BuildingName
FROM Building_Names
WHERE ASSETS.BuildingNameID = Building_Names.BuildingNameID)=LCAMdump.BUILDING)
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((Assets.FLOOR)=[LCAMdump]![FLOOR])
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((Assets.DeskLocation)=[LCAMdump]![LOCATION_SEGMENT2])
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((Assets.BuildingLocation)=[LCAMdump]![LOCATION_SEGMENT1])
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((SELECT FirstName
FROM Employees
WHERE Assets.EmployeeID = Employees.EmployeeID)=LCAMdump.USER_FIRST)
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((SELECT LastName
FROM Employees
WHERE Assets.EmployeeID = Employees.EmployeeID)=LCAMdump.USER_LAST)
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((SELECT SSO
FROM Employees
WHERE Assets.EmployeeID = Employees.EmployeeID)=LCAMdump.LOGIN_SSO)
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((SELECT UserID
FROM Employees
WHERE Assets.EmployeeID = Employees.EmployeeID)=LCAMdump.USER_LOGIN)
)) =False));
It works great returns the correct results. But I don't need everything out of Assets. I just need a few things from there and a few things from 2 other tables.
I tried this but it now gives back over 220 repeating results.
SELECT Assets.BarcodeNumber ,
Employees.UserID ,
Building_names.BuildingName,
Assets.Floor ,
Assets.BuildingLocation ,
Assets.DeskLocation ,
Employees.FirstName ,
Employees.LastName ,
Employees.SSO
FROM Assets ,
Employees,
Building_Names
WHERE (((EXISTS
(SELECT *
FROM LCAMdump
WHERE Assets.BarcodeNumber = LCAMdump.T_TAG
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((SELECT BuildingName
FROM Building_Names
WHERE ASSETS.BuildingNameID = Building_Names.BuildingNameID)=LCAMdump.BUILDING)
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((Assets.FLOOR)=[LCAMdump]![FLOOR])
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((Assets.DeskLocation)=[LCAMdump]![LOCATION_SEGMENT2])
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((Assets.BuildingLocation)=[LCAMdump]![LOCATION_SEGMENT1])
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((SELECT FirstName
FROM Employees
WHERE Assets.EmployeeID = Employees.EmployeeID)=LCAMdump.USER_FIRST)
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((SELECT LastName
FROM Employees
WHERE Assets.EmployeeID = Employees.EmployeeID)=LCAMdump.USER_LAST)
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((SELECT SSO
FROM Employees
WHERE Assets.EmployeeID = Employees.EmployeeID)=LCAMdump.LOGIN_SSO)
)) =False))
OR (((EXISTS
(SELECT *
FROM LCAMdump
WHERE ((SELECT UserID
FROM Employees
WHERE Assets.EmployeeID = Employees.EmployeeID)=LCAMdump.USER_LOGIN)
)) =False));
I am sure it something simple but I am a novice at this so please help me. :D

I am in the of designing an access 2010 database for data entry. Is it possible to create a button on a form in which a prompt asks a user for which records to export. Then depending on the entry export specific fields (First Name, Last Name, DOB) to a specific excel 2010 workbook (setup) and worksheet (template)?
For example, if the user entry is 1, only record 1: First Name, Last Name, DOB is exported to the setup.xlsx (more specifically the template worksheet of the setup.xlsx). However if 2,3,4 are entered then records,2,3,4: First Name, Last Name, DOB are exported to the setup.xlsx (more specifically the template worksheet of the setup.xlsx).

I'm working on a form with almost a hundred various fields (it's what my employer needs). He wants to be able to create new records with much of the same information as the old ones by clicking on a button that will copy the information to a new record, then clear certain specific fields (or some process that will safely create the same result). I don't need specifics on how to write the same line of code for each and every field I wish to clear.
Say I have a form with 5 fields: part_number, part_owner, procedure, file_name, and date.
How could I copy the record to keep the fields part_owner and procedure the same, but clear part_number, file_name, and date?
All of the fields are from the same table (no, it's not normalized...).

I have a form "frm_PatientNew" based on table "tbl_patients", this form contains a button "cmd_NewVisit" which is supposed to do the following: opens the form "frm_NewVisit" for recording a new visit for the last recorded patient in "tbl_Patients", I found many approaches depending on DMax and Dlookup and they worked fine just if "frm_NewVisit" is bound to "tbl_Patients", but "frm_NewVisit" is bound to "tbl_Main" which acts as a container for all information (patient data, visit data, service done and service provider), so the form "frm_NewVisit" contains fields from different tables. I wonder if I should create "frm_NewVisit" as unbound form, then adding fields from different tables to it and using vba to populate "tbl_Main",

I have a continuous subform recording the information of various wireless products for an employee embedded in an employee main form. Please see screen shot enclosed.
There is a check box "BYOD/Personal" on the subform. I want to hide a number fields when this check box on independent record is checked. However, if I use the following codes, the changes apply to all records under that employee.
Private Sub BYOD/Personal_AfterUpdate()
If BYOD/Personal.Value = True then
Me.Provider.Enabled = False
Me.XXX.Enabled = False....etc.
Else
Me.Provider.Enabled = True
Me.XXX.Enabled = True....etc.
End If
End Sub
How can I just disable those fields on the subform of a specific record when the BYOD/Personal field for that record is checked?

;) Hey everybody,
I am working on a database used in recording device characteristics/test information. The main table of information has dozens of columns for test/part detailed information. When inputing the data for each specific test, many of the info. details are repeated when testing say 20 devices of the same part all at once. Rather than retype every piece of detailed information in every field, everytime, is there an easier way? Does anyone know of a way to make specific fields copy/paste the previous record's information in the fields automatically when a new record is created? Please, if anyone could help or has ANY ideas, let me know...
Thanks

Hi,
Not sure where to put this, but as I want the information to be shown in form view, I guess this is the bext place to start.
In breif, I have created a database, in which infomation on machinery is held.
The problem I am having (atm), is I have to create a function, which I want to be presented in form form, where by each item can be searched by it's RequestID (unique) or the customer who owns it, so that its current location can be attached (or viewed).
I'm not sure whether i've worded this well, so to sumerise:
I need a form with 3 fields, RequestID, Customer and Location.
Where by I input the RequestID, which brings up the Customer and Location, or input Customer which brings up the RequestID and Location (obviously there will be mulitple results from Customer search).
Again, I hope I haven't confused anyone because it's pretty simple what i'm trying to say, but....
Thanks, Ben

In Access 2010, I have a table with two fields. The first field (Investor Name) contains several occurrences of the same text (i.e. Investor A occurs 2 times, Investor B occurs 3 times, etc.). The second field (Investment) may or may not contain duplicates (i.e. more than one Investor may have invested in the same Investment). I'm trying to create a query that will show me, in one record, all the Investments that each Investor has made.
So for the following data...
Investor Name
Investment
Investor A
Investment 1
Investor A
Investment 2
Investor B
Investment 1
Investor B
Investment 3
Investor B
Investment 4
I want the query to report back the following...
Investor Name
1st Investment
2nd Investment
3rd Investment
Investor A
Investment 1
Investment 2
Investor B
Investment 1
Investment 3
Investment 4
To clarify further, I'm NOT looking to concatenate the results into one field. Instead, I want each Investment to appear in its own field, so that I can pull each one into a report later. Ideally, there should be no limit to the number of Investments that each Investor has made, although practically speaking, it likely won't exceed 10 or so.

I have an access table that looks like the below:
"field1", "field2, field3, field4, field5, field6, field7"
"field1~field2~field3~field4~field5~field6~fie ld7"
"field1~field2~field3~field4~field5~field6~fie ld7"
"field1~field2~field3~field4~field5~field6~fie ld7"
"field1", "field2, field3, field4, field5, field6, field7"
"field1~field2~field3~field4~field5~field6~fie ld7"
I've got a module which loads the data into a table, but it can't handle the records that are ~ delimited, so spits them out as a single field.
I know there is some VBA code that can be used to split comma delimited records, and I've seen bits of it floating around online and tried to alter it to work for the ~, but I get the feeling that what I've seen is only a part of the required code, how to put it all together to make something that actually works.
So, what I need to do is;
- Split some records in a table out into multiple fields where there is a ~ present
- Place these newly split fields into a table (I don't mind if it ends up in a new table or not)

automatically adding modified date/time to a record as it changes..I have a work log database for a team of people to keep track of workflow (documents in/out, stage in the workflow, owner of the record, etc.). I have a number of records that I want to automatically update a corresponding date/time field when it is changed. For example, one part of the workflow tracks a document through the approval of 5 different people. So I have a five records that are yes/no flags for approval and five records that are date/time for when it was approved. Right now my team is manually entering the five date/time stamps, but I'd like to have it automatically update when the check the "yes" box and update that field in the record.

Basically I have this formula in excel and i'm trying to recreate it in access but i can't quite figure it out.
****a***********b**********c*********d*********e** ******f
3**Car***Cost Center****start****combining*****end*****miles
4**001*****aaa********021****=(A4&" "&C4)***030
5**002*****bbb********030****=(A5&" "&C5)***035
6**002*****aaa********035****=(A6&" "&C6)***040
f4: =IF(COUNTIF($D4:$D600,D4)=0,(E4-C4),(E4-C4)/COUNTIF($D4:$D600,D4))
f5: =IF(COUNTIF($D5:$D601,D5)=0,(E5-C5),(E5-C5)/COUNTIF($D5:$D601,D5))
f6: =IF(COUNTIF($D5:$D601,D5)=0,(E5-C5),(E5-C5)/COUNTIF($D5:$D601,D5))
So basically: If a car is using multiple cost centers for a trip it divides the total mileage among the cost center for said trip provided that the user enters the same start and end mileage on all the cost centers used. And if it doesn't have multiple cost centers it provides the appropriate amount.
=IF(COUNTIF($D4:$D600,D4)
=IF(COUNTIF($D4:$D600,D5)
=IF(COUNTIF($D4:$D600,D6)
and so on
Any way to reference a column in access while referencing a specific point within that column.

I have generated a table using a crosstab query and it gives the information as below
12/10 12/11 12/12 13/01
Part 1 1 2
Part 2 4 4 4
Part 3 5
So basically part, qty used, year/month used - it works fine up to this point.
Now I want to either add more columns to the crosstab query to count number of times Part 1 was used in last 12 months & 24-13 months
Or
Create another query to do this.
But I want the count function to start counting from current month to last 12 months and from month 13 to month 24 (in another column).
The problem I am having is that this query will run every month and I don't want to update the column headers (in query property sheet) instead I want query to pick this up automatically.
I use the design view to generate queries.

I have a form bound to a table which has 20 (name)fields and 1 date per record. A user fills in this form first to indicate which people are present this day. I know it would be better to use 1 name per record but that would in this case not work since the form must show all names for that day before saving and closing.
I have a different form where I use 4 combo boxes and a date field. The values that can be selected in the combo boxes should come from the 20 names on the first form and with the same date as the other form. So only 4 people of the 20 indicated as present on that day can be selected to have performed some task.
I know how to select with a combo box from different records, but how would I do it from different fields in the same record? And then also for a particular date?

Hello, I have just spent ages doing searches and reading everything I can on locking. But, I have yet to find an answer as to how I can lock a specific field in a specific record.
e.g. Staff enter customer details, then at the end of the day the admin (me) checks it over and presses a big old button that stops them from locking certain fields in the current record only - they must still have access to the unlocked fields of the current record, and it must not lock any other records.
I'm guessing there's some VB code in the form of fieldname.lock = true, but then it locks the field throughout the whole table!
Can anyone tell me how to do this please?

I am trying to count how many plans a retail chain has over its stores.
So
WeekNo | StoreNo | Product |PlanNo
1 | 10001 | Dog | A
1 | 10001 | Cat | B
1 | 20008 | Dog | B
1 | 30005 | Dog | B
Query/report to show
Product | PlanNo A | PlanNo B
Dog | 1 | 2
Cat | 0 | 1
Numbers in Query/report are a count of Stores selling the product
One of the issues is that the data is duplicated over the weeks, I'm thinking to use max on week number so It only looks at the last available data. And how to write the query.
Currently I'm doing this
PlanA: Sum(IIf([PlanNo]="A",1,0)
PlanB: Sum(IIf([PlanNo]="B",1,0)
.
.
.
But it looks at the whole of the table for all the weeks...

I'm looking for some type of custom function that will search a specified column for any keywords listed inside another table.
I can run a query on each keyword individually, however there are 50 and it takes a long time each time I do it. I was hoping to write in a function for that column and it would just select all records that match.
These would all need to be a "like" with an " * " on each end of the word.
With SQL it would look something like:
Code:
select a.address1
from main_tbl as a
where a.address1 like '* north *'
or a.address1 like '* park *'
or a.address1 like '* south *';
I just want it to read each of the table values instead of hard coding them and the column name would be the function name so it can be used in any column I specify. I'm just not sure how to incorporate this into a custom function.

Hello everybody. I am new to Access and as such I don’t know how to perform the following. Please help me out.
The project is about a library loan system. I have a database consisting of the following tables: member (MemCode, LName, …), book (BkCode, Title, TotalCopies,…), purchase (PurDate, BkCode, CopiesBought,…) and transaction (MemCode, BkCode, RentalDate,ReturnDate,Returned).
TotalCopies is the total no. of copies there are of the book
CopiesBought is the number of copies that have been purchased
RentalDate is the date on which book is being loaned
ReturnDate is the last date on which the book has to be returned
Returned is a Yes/No field to indicate if the book has been returned
In the library a member can take only one book at a time.
Problem 1:
The library may have several copies of a particular book, but all will have the same code. For example, a book, let’s say Harry Potter 6 has code 97. Initially only 1 copy of the book is purchased. When the librarian sees the book has great demand, he decides to purchase 3 more copies. All the copies will have the same code, i.e., 97. Only the TotalCopies will become 4.
BkCode is Autonumber in book table and Number in Purchase table. Relationship is 1:many.
I have a Purchase form to record details of books being purchased. I have a command button “Book form” that opens the book form when the user clicks on it. He will use it if the book being purchased is not already available in the library. What I want is:
(i)If he opens the book form to fill in details of the book, then when he closes the form I want the book details to automatically appear in the corresponding fields on the Purchase form.
(ii)The CopiesBought will have to be used to update the TotalCopies in the book table. How should I do this?
Problem 2:
When the user wants to record a loan, the system will need to check if that member already has a book which he has not yet returned. If it is so, then the system will need to provide a prompt to inform the user of this and consequently blocks the user from completing the transaction. How do I do this?
Thanking you in advance for your help.

I have 7 combos, which for the most part set the value in another field - however, there are two values in the combo that do not have a value attached - one is AH, the other is SK. I have two textboxes (one for AH, one for SK) that I wish to have a count (preferably running) of how many times each of these values appears in the seven combo boxes.

We have a PHP website that utilizes an Access 2003 SP3 database. This website is used as an authorization process for a business process in our company. On the website, 8 different people must "sign off" on the process. This sign off process simply consists of typing your name and date into two different text boxes, as well as a third drop-down menu for "APPROVED" or "DENIED". These, of course, correlate to their respective fields in the Access database.
Within the past year or so, the 8th approval section was added. Since then, there have been sporadic issues where all of the approval fields would simply be erased and everyone has to go back to the form and "re-approve" their fields. I believe we have narrowed the issue to when the 8th person signs off before the 7th person. However, the approvals are not cleared every single time this happens, but this condition exists every time data is cleared. So my question is, would this be an issue related to access, or with the coding of the website?
