Datasheet Lookup, With Intermediate Relationship
May 3, 2007
I am working with Independent School Districts (ISD) in the state of Texas. The State is divided into 20 regions. Over 1000 ISDs are divided among those 20 regions. Each of the 1000+ ISDs has between 3 and several hundred individual school campuses. Each has a name, but as you would imagine, there is some duplication - not within an ISD, but between different ISDs. For instance, both Dallas ISD and San Antonio ISD may have a Lyndon B. Johnson campus.
We are an association that has members on most of the campuses.
I am using an autonumber ID as primary key on the member, campus, and ISD tables.
During entry/editing within the member table using the basic datasheet, I want to use a lookup field (showing campus names) to select the campus. That is not a problem by itself. But with many tens of thousands of potential campuses to choose from that doesn't work very well. What I would like to do is restrict the campus lookup to the names within the ISD, that is, filter the lookup by ISD.
However, I don't want to include the ISD in the member records because that will not be full normalization, but I am willing to do so if necessary. But if I do, I want to include only the ISD number (another autonumber primary key for the ISD table). So during member entry, I want to translate the ISD key into the related ISD name for selecting the correct ISD, before I try to select the correct campus within the ISD.
Essentially what I want to do, is member entry thru a datasheet and first look up the ISD to find it by name, then use that selection to filter the lookup on campus to limit the selections to only campus names within the chosen ISD.
I would be grateful for any assistance with this. I am not married to this approach, so if someone has a better but different idea, please suggest it. However, I am a relative novice, so bear that in mind.
Thanks in advance.

I have 2 relationships between 3 tables,
Customer Table > Customer ID (pk) 1
Issues Table > Customer ID (FK) Many
Complaints Table > Customer ID (FK) Many
Each table has Customer ID as you can see, I have linked the Customer ID From Issues & Complaints table to the Customer ID field to the Customer Table using a 1 to Many relationship.
Am creating a form on the customers table so an admin can add a customer issue against the customer this is working fine, The trouble is when I link the Complaints table as well. its asking for subdatasheets.

I am new to Access and am currently learning it so that I can construct a database of trivia questions.
I have a "Questions" table with question, answer, type, etc. This table is linked to a "Categories" table with a many-to-many relationship using a junction table called "Questions_Categories". The "Categories" table is also linked to a "SubCategories" table with a Categories as the parent and SubCategories as the child. I have attached the database for ease of understanding.
When I enter data into the "Questions" table using datasheet view, I open up a subsheet that shows me the Category and SubCategory fields which have their own lookups.
My problem is the following: I want each category to have its own set of SubCategories. For example, the "Region-Specific" category has "Canada", "London", and "Ontario" as sub categories. However, the movies category should not have any sub categories. The problem is that when I choose Movies in the sub datasheet, the subcategory lookup still shows Canada London and Ontario when I don't want it to show anything. It doesn't make sense to have a Movies category with a London subcategory.

Hi all,
I am wandering if anyone can help me here. I have a form which is linked to a table called tbl_File. Within in this form & tbl_File there is a field called Country_Code. In the Country_Code field the user places a number that corresponds to their country they want.
Now Country_Code & the corresponding country is defined in a seperate table called tbl_CountryCodes.
What I would like to do is in my form once the user has inputed a number in the Country_Code field (it will be a combo box), a label or textbox in the SAME form will then do a search of the corresponding Country name in tbl_CountryCodes and then display it to the user.
Any ideas will be greatful :D

When designing a table I've created a field and set its lookup properties to display a combobox with a row source that returns a DISTINCT set of values already entered into the field.
After a row insert or row update the combobox needs to be required to ensure its list is complete.
If I create a form to display my datasheet this is easy. But I'd prefer to enter data directly into the table datasheet directly. I need to enter simple data into about 20 different tables and I'd prefer not to create 20 forms unless it's really necessary.
The lookup wizard generated entries similar to those I'd previously created manually, except the wizard generated a couple of extra settings that appeared briefly that were not part of the regular set of lookup tab properties. These additional settings referred to 'update propagation'. Once they'd disappeared I couldn't see any way to get them back..

Hi All,
I need an Access query to return the rate at which a customer should be charged. A customer's rate can be set for a period of 1 to 6 months and the customer's rate table could look like this:
ACCOUNT_ID........START_DATE........END_DATE...... ..COST_PER_UNIT
31308.................01-Apr-07................30-Jun-07.................6.195
31308.................01-Jul-07.................31-Aug-07.................6.304
31308.................01-Sep-07................31-Mar-08.................5.422
31308.................01-Apr-08.................31-Aug-08.................6.304
I need a query (preferrably SQL) that will return the rate a customer should be charged each month, e.g.
31308 / Aug 07 / $6.304
31308 / Sep 07 / $5.422
31308 / Oct 07 / $5.422
etc, etc
I'm using Access 2003 and the rates table contains details of about 2500 customers.
Any ideas would be welcomed.
PS. Can someone tell me how to paste a table straight from Excel into the forum post body???

I created a table in MS Access using a Lookup & Relationship data-type. This means that my record cells call upon a particular table for values. It creates a LIST of values for that cell. When I query a particular value in this table I get every possible combination of the value. My query and code are below:
OR,
SELECT MainT.Content.Value, MainT.Source, MainT.[Entities Impacted].Value, MainT.Update,
MainT.[Divisions Impacted].Value, MainT.Announced, MainT.Effective, MainT.Stakeholders.Value,
MainT.[Ref#ID], MainT.[Issuing Agencies].Value
FROM MainT
WHERE (((MainT.Content.Value) Like "*" & [Forms]![SearchF]![ContentCB] & "*" Or (MainT.Content.Value) Is Null)
[Code] .....
This means that if I query STATES: "California", I'll get back every possible combination that exists with the name California in that particular field. The issue with this is that I'll get MULTIPLE primary key values rather than just 1. So, if one record, under STATES has California in it, but the other fields in that record have the Lookup & Relationship data-type, then every possible combination of that record will query instead of the multiple field-values form that you'll see in the table I am querying.
notice that my primary key (REF#ID) is repeated numerous times! This obviously causes problems with generating records and forms concerning information for 1 particular primary key. Is there a way around this problem other than specifying search criteria down as much as possible?! Perhaps there is some SQL code.

Hi,
There is a requirement for
1)Populating a datasheet in a subform with a querystring which is dynamically built in VBA.This querystring is constructed based on the search criteria fields selected by the user in the main form. How can this be immplemented?
2_To click/double click a record in the datasheet, extract data and populate textfields, comboboxes with it which are in the main form. How is this achieved? Also,I can't find click events in a datasheet.
Pls let me know.
Thanks,

I'm wrestling with the issues; in other threads, it became apparent that because I could not know ahead of time what I will need to know about a given entity, I will use a table to enumerate attributes that is applicable for a given entity.
However, the stumper is that what if an attribute should conform to a set list of values? Since they are dynamic, I would have problem predicting what I will need to be able to lookup, and am even don't know whether I will need a one-many lookup or many-many lookup.
I thought that generic lookup table with a table listing "classes" of lookup would allow me to have one big generic lookup table while using "classes" to act like virtual tables so I can then set the query to appropriate "class" to return just right set of values.
But as I thought about it, I ran into some issues which is pulling me toward the crazy idea that I should have freestanding tables, and use a field in tblAttribute to give me the table's name so I'd know which free-standing table it points to, and have the necessary key to lookup the values within that table.
Even though my gut instincts tell me that I shouldn't be going against the conventions of database design (who the frick goes around creating free-standing lookups?!?), I'm simply not sure how I can use a generic lookup table to hold all information.
For example, suppose I was given a list of values that has its own categories. Since the former design allows only for two level (lookup and lookupclass), where am I to insert that extra level?
Furthermore, I found myself needing a set of virtual keys to reference a certain "class" of lookups for report purposes. That means I need an extra field in my lookup table than I originally anticipates. What if I find myself needing one more field that just won't fit the generic lookup table?
So does anyone have suggestions on how we would create a placeholder for a lookup table that will be made just in time?

I have three large source tables imported into my database. I have created queries to retrieve relevant values from fields in each source table which feeds into my form. Each field on my form that is connected to the relevant query is a lookup field. For example, one field called "Supplier_Name" another called "Supplier_Code" and a third called "Route_Number".
Needless to say each of my lookup fields are very long. I am trying to filter my search based upon the selection from the previous Lookup field. How I can filter a lookup field's value based upon the previous lookup field selection? Each Supplier has a code and assign route(s) and I have already established these relationships.

how to do a particular thing in Access 2010 (I don't even know if it is possible).
I have a table named PRODUCTS:
ID_PRODUCT (primary key, autonumber long integer)
ALLOWED_OPTIONS (multi value text lookup field: "Option 1";"Option 2";...;"Option 9")
So I can store, for each different product, none, one, or more options to let the customers choose from.
I have a table named ORDERS:
ID_ORDER (primary key, autonumber long integer)
FK_CUSTOMER (foreign key, linked to the primary key of a CUSTOMERS table; represents the customer that places the order.)
FK_PRODUCT (foreign key, linked to PRODUCTS.ID_PRODUCT; represents the product that the customer has choosen)
CHOOSEN_OPTION (lookup text field; the customer must choose ONE option among those allowed for the product he has ordered)
The problem is that I would like the CHOOSEN_OPTION field to show as a combobox, listing the values stored into PRODUCTS.ALLOWED_OPTIONS, so that when a customer buys a product, he can choose only among the options allowed by that particular product. How can I manage a multi value field to populate a combobox, in which every item stays on its line? If I use, as a query to populate the combobox:
select [PRODUCTS].[ALLOWED_OPTIONS]
from PRODUCTS
where [PRODUCTS].[ID_PRODUCT]=[FK_PRODUCT]
I obtain an empty combobox. If I refer to the last field as [ORDERS].[FK_PRODUCT], Access asks me to type a value for "[ORDERS].[FK_PRODUCT]", treating it as an unknown parameter.I think that the problem is that when the combobox expands, the record is not committed yet, so FK_PRODUCT is unknown (NULL?). But this happens even if I commit the record typing something in FK_PRODUCT and then I re-enter the record and I expand the CHOOSEN_OPTION combobox, that is still empy although FK_PRODUCT exists, now.Is there a particular syntax to refer to a field in a record not committed yet (something like "THIS." or "ME.")?

I have an access 2000 db. My users open the DB and I have it launch a simple “startup” form with various buttons for the most used features. I have one button that launches another form. The default view of the form is supposed to be in ‘datasheet’ view. However when I click the button it opens in ‘single form’ view.
What can I change on this vb code to allow it to launch in datasheet view instead of single form?
Private Sub cmd_su_checkpaid_Click()
On Error GoTo Err_cmd_su_checkpaid_Click
Dim stDocName As String
Dim stLinkCriteria As String
stDocName = "frm_ACCOUNTING_BILLING_VER"
DoCmd.OpenForm stDocName, , , stLinkCriteria

Err_cmd_su_checkpaid_Click:

Hi All,
I am new to access and this forum, so hello all.
I am trying to build a database to keep records of my bird sightings. As you might have surmised; I am a birder.
I have come to a holt on creating a complex relationship between the Bird Entry From and the table that contains a list of British birds.
In Bird Entry From two of the fields are for entry of the bird name, one field being the Common Name and the other being the Latin Name. They are both drop down lists that contain all the birds from the table, this being done by import data. The table that holds the bird list has two fields One is called Common Name and the other is called Latin Name, this being the same as the filed names in question in the Bird Entry From
This is where I am coming unstuck. What I would like to happen is that when I enter a bird in the Common Name field (either by typing until the bird is auto entered from the drop down or using the drop down to find the bird) it automatically enters the Latin name in the Latin Name field and visa-versa, but I have become very frustrated with trying to do this.
Am I wasting my time? Or is it possible? And if so would anyone be kind enough to tell me how?
Many thanks,
Simon.

As you all know Im not a expert on databases but work in a volunteer basis in a small community area where we have no money for people to do anything for us.
Im proud because I did the other database and its up and working but this one has got me beat.
Im setting up one for the volunteers, which has computer knowledge, any basic training they need, when they are available and what tasks have been set for them.
I need to have a one form which has just their personal details but to be able to put in data on the other forms and it will link back to the volunteers name.
Ive attached what Ive done and Im sure your all going to laugh - but any help would be appreciated

Trying to set up a fairly simple DB. Here is the layout:
tblRoom(roomID, roomNumber, rackOne, rackTwo, rackThree)
tblStudent(studentID, name)
Each student will be assigned to one, and only one, rack. There will be 3 students to one room. One student can only have one room but a room can have many students... I store studentID in the rackOne, Two and Three fields. My problem is when I try and querry for the information so as to display actual names rather than ID's. I'm not sure If my querry is the problem or if I've set the tables up incorrectly. Any insight is much appreciated.

I want to be able to open up the volunteer table and have it show me the movies they have worked on. The movie data table will list who worked it, but the volunteer tables are not.
Any ideas?

I was wondering if anyone could help me with a query. Basically I am doing (or trying to do) a small database to track childrens progress in my mums primary school. I'm doing this for free as the budget is rubbish for this type of thing and i dont have enough knowledge to ask for payment anyway! I want to get it right from the start and I think if I get the relationships right initially then I can complete the rest of it on my own. I did this at university (normalisation etc) but ive not used it since i left in 2002 and so have practically forgotten everything i ever did.
Basically, the child comes into the school and is predicted a level in maths, reading and writing. Then in the october, feb and july of each of the 2 years they are there, they are given actual assessment levels. They are also given a prediction level at the beginning of year 2.
So far I have one table with student no, surname, first name, gender, ethnicity, year group and SEN(special educational needs) - with the primary key being student no.
This is where I get stuck - do I go for a maths, reading and writing tables and split it that way - or on an assessment basis, so prediction yr1, october yr1, feb yr 1 etc etc. Or is this completely wrong? Am sooooo confused, so any help would be greatly appreciated.
The outcome I want is to be able to query a childs progress, so for example: show children who achieved a 1a in yr1 maths, and then out of those children, who achieved a 2a in y2 maths (as this is the required shift in progress set by government). I really hope that makes sense.
Thanks in advance
Nicola
