Field Relationship Understanding Needed

ok, let me please ask this question regarding a payment relationship in my database
it will be paid in four ways, cash, creditcard, cheque, paypal
each of these payment types will have their own features..
eg creditcard (name on card, card number)
cheque (cheque date, date cleared)
paypal (username...YOU GET THE PICTURE
so is this below way a good way to store these details, or can i do it with 4 less tables..

if this way is correct, i dont see how each id will be entered..
eg
if i enter some cheque details.. will that lead the chequeid to be linked to the paymentid, and the paymentid to the bookingid, and the bookingid to the booking details etc

I have a database that has a linked table within it. I need to enforce referential integrity on this relationship but it won't allow me too.
Does anyone know if this can be done?
If so, could you possibly point me in the right direction

I was hoping you guys would have a recommendation. Do you know of a book or web site that offers workbook examples to help practice learning how to understand existing databases?
My biggest problem with databases has never been designing them but learning how to follow someone else's work. Some place to practice on this deficiency of mine would be great. Any thoughts?

Please see the attached two files.
I have tried to figure out what the difference in functionality would be between 1 and 2. In the latter I have just created a series of relations between the last two tables (but that structure could be used throughout the whole DB instead of hanging it together with one relation between tables as is the case for the rest of the DB in this picture).
So there can be three different situations with this table structure:
- linking all tables together via multiple relations
- linking all tables together via a single relation
- a combination of both, such as in the images.
Why would someone choose one versus the other? "Which is better in what situation?"
I've been fiddling about for a while now, but in a structure such as this it doesn't seem to make a difference. Or maybe there are differences in use/design, but on a level that I have not explored yet.
Could anyone explain this to me a bit? I have multiple books, all of which handle basic relations but I have not yet seen an explanation for this question. I think understanding the whole relationship topic is critical to be able to see other pieces of the puzzle fall into place later on. And as of yet, this is really fuzzy to me.

Ok, this is a quote from MS Office online.
Omits records that contain duplicate data in the selected fields. To be included in the results of the query, the values for each field listed in the SELECT statement must be unique. For example, several employees listed in an Employees table may have the same last name. If two records contain Smith in the LastName field, the following SQL statement returns only one record that contains Smith:
SELECT DISTINCT
LastName
FROM Employees;
If you omit DISTINCT, this query returns both Smith records.
If the SELECT clause contains more than one field, the combination of values from all fields must be unique for a given record to be included in the results.
The output of a query that uses DISTINCT is not updatable and does not reflect subsequent changes made by other users.
So, from what I understand of this, if any of the fields in the record (or row, whatever) repeat then it is not displayed. Correct me if I am wrong.
The problem is that when I try and use it in my DB it return all the fields regardless of the Distict clause, unless I am only querying one field, which is next to useless.
For example when I make a test table that has repeating words in one field, with a unique ID for each one, the distinct clause works when I display the words field alone and not when I display the ID field as well.
Can anyone explain what is happening or what I am doing wrong?

I have to create reports from an Access database used in a commercial application. The backend uses Access but the front end does not.
The vendor does not document the data or provide any support for that. The database has over one hundred tables and thousands of fields.
I'm thinking I'll create small transactions in the application and then study the database to see what has changed. But this seems overwhelming considering how many tables and fields there are. So I'm looking for advice on how to approach this.
I have a FoxPro background but I'm new to Access.

Hello i am a college student and i was just getting on with my database assignment. i don't want any one to do it for me i just want someone to point me in the right direction. i am making a basic Encyclopedia on planets for my project. i have made one form which i want all my other forms to look like. this form is getting its information out of queries. this form is opened when i click a picture of the planet. so i was wondering if it was possible if i could link all the picture up to the one form but each picture opens a different set of data with in this form. i have already thought of just copying the forms and changing the control source. just wondering if there is a different way of doing it.

Hi,
I hope someone can help me, I have a database compiled from different sources which means that information in fields that need to be linked are written differently, meaning that I can't just simply make a relationship between them.
The two tables I would like to link are,
Table 1 has the fields OCCUPATION and AMOUNT and contains over 740,000 records.
Table 2 has the fields COMPANY_NAME and TICKER and has 500 records.
I need to find a way for all COMPANY_NAME fields in table 2 to be cross-referenced with the OCCUPATION field, so if COMPANY_NAME is part of the string in the OCCUPATION field then the TICKER (of that company) can be attached to the record in table 1 (specifically to AMOUNT).
The problem is that the OCCUPATION field is not written in a standard form and can include either only the occupation, only the company name, or both in either order.
I can make a seperate query for each company by using as criteria "like "*[COMPANY_NAME]*", but then I would have to do this 500 times!!! Is there a way to automate this?
The final purpose is to link the AMOUNT to TICKER so as to find the sum of all the amount associated with a company.
I really hope you can help, I have little programming knowledge and it will save me the time of making 500 seperate queries. The final use is for my thesis studying private contributions in the american elections.

Hello,
I created a query that pulls from multiple tables, of which contain the same field name (LastAccessed).
I am getting an error stating that (LastAccessed) "...could refer to more that one table listed...".
What is the correct way to state that I want to pull (LastAccessed) from 'tbldatabases' and not the others.
My goal is to only pulls those record whose (LastAccessed) contains 2004. Right now I have "Year([LastAccessed])"
in the field line and "2004" as its criteria.

Hello all,
When I try to create a relationship between 2 fields of 2 different tables and that I choose "enforce referential integrity", the an error message appears, saying that the relationship should include the same number of fields and same type of data.
But I chose on field of each table to create the relationship, and both are of the same type in their respective tables...
Can someone help me?

What am I doing wrong that I cannot get this to work?
I have a table with Patient Details - the Primary key being called PatientID and this is an Autonumber.
I then have a table called Episode Details. I want them to be linked via the PatientID. When I set up the forms however, it won't work.(Relationship PatientID - PatientID one to many)
I think it is something to do with the Autonumber but can't work out what...

I'm looking for advice on the best method to accomplish the following from the esteemed members of this Forum (You all have provided excellent advice in the past to this Access Dummy, with my thanks), (I've also searched the forums without result):
I would like to make several fields "required" fields on my form, easy enough, in that I set the Required property on the table to "Yes".
What I would like to happen on the form is that when a user tabs out of a required field, a message box pops up that says "This is a required field" and/or when they click any of the following command buttons I've created, "Save Record", "New Record" or "Close Form", that a message box pop up and list the required fields that they missed.
Any ideas, with code, macros, or other solutions would be greatly appreciated, keeping in mind that I'm just not that swift to start with.

I have a form set up where user's type in an explanation of how a claim is being appealed and resolved in a memo field.
One problem, for some reason management doesn't want these explanations to end with a period. But the users keep ignoring our request and keep using the period.
Is there a way that you can code this memo field to where it will allow punctuation throughout, except at the end?

For reasons I need not get into as it generally proves to be a distraction, I need to document the relationships in databases.
I've been playing around with .Relations with some success.
I can easily get the relationship's name, Table Name, Table Field, and ForeignTable.

I have a form that I have opening in Filter by Form mode. It WAS working flawlessly, at least it was opening in that mode. It IS still requiring me to click on Toggle Fields once data is entered into controls to filter by, but that's another issue (I wrote a recent comment, but haven't gotten any response). Something different is happening suddenly that wasn't happening before. This form is a copy of a form needed to enter data.
Both forms read from a table which has several required fields. Suddenly, when I open the form to find records in ANY mode it's making me enter something into these required fields, even though I'm not searching/filtering by them. The message comes up "You must enter a value in the [Specific Required Field name here] Field." What did I do to make this start happening? How do I stop it? I DO want something to need to be entered in the required fields when new records are being entered and when things are being changed. However, I don't want it to be required during search processes.

I have two tables containing data from two separate sources. The unique "link" between the two is a JobNumber field. I need to set up a relationship between the two tables using the JobNumber field.
Problem:
In one table, the JobNumber has been input in this format: 12-00345-01
In 2nd table, the JobNumber has been input in this format: 12-00345-1
How can I tie these when the 2nd table is missing the "0"?

Each each record in table1 has a unique four character (alpha-numeric) code to identify it. The first two numbers of this code represent the group it is in. (Ie. 15AB and 1502 are both grouped together) The second table stores values that apply to the entire group. I need to create a relationship between these two tables based on the first two characters in the ID field.
Things I've tried:
* Making a calculated field with left$() formula - Access doesn't allow relationships on calculated fields
* Create a new field for just the first two characters and create a data macro for after update and after insert to update that field with the expression - cannot edit the field the user is on

I have a "Main" form called frmProjects that sports multiple tabs. One of those tabs is labelled "Milestones", into which I inserted a datasheet subform called frmSubMilestones. The table that feeds the subform is tblMilestones. I established the parent / child relationship between frmProject and frmSubMilestones, and everything is working just fine...
To summarize: frmProject as main form -> Milestones Tab on main form -> frmSubMilestones as datasheet subform on the Milestones Tab (there are other tabs that are not subforms).
I have been asked, for each milestone in the frmSubMilestones subform's datasheet, to capture the number of days spent by employees on a monthly basis. The Milestones table and the PersonDays table have a primary key and a foreign key that are similar.
To summarize: frmSubMilestones as subform -> txtAggregatePersonDays as calculated Textbox fetching data from tblPersonDays -> OnClick event -> FormLoad of frmPersonDays as datasheet PopUp form.
DoCmd.FormLoad is supplied with the usual parameters to make the PopUp form appear, filtered on the currently highlighted milestone. Everything works fine so far... well almost.
Problem 1: When I introduce new rows in the frmPersonsDays datasheet, everything seems fine at the surface, BUT the primary key of the calling form (i.e. frmSubMilestones) does not appear in the tblPersonDays table; this is normal because there is no form-based parent / child relationship between the two forms. As one might expect, I am trying, from frmPersonDays, to get the primary key value from the "parent" frmSubMilestones using the Forms collection. No dice. I surfed and surfed, tried the bang and the dot operators, drank scotch, but nothing worked. I had to add foreing keys manually in tblPersonDays to further my tests. I can't figure out how to reach any control on the calling form, which is a subform.
Problem 2: The calculated txtAggregatePersonDays on the frmSubMilestones works wonders for existing data in tblPersonDays. However, when I introduce new rows in the PopUp form, I also realized that the calculated Textbox in frmSubMilestones is not updated when I close the frmPersonDays PopUp. I have to close the PopUp form and move the cursor in the Main form (frmProjects) to refresh its associated milestones.

The interface being used is a main form with various tabs and a subform on each of these tabs.
There is one field ('max power density') in my database that is calculated using 'Max Rated Power' and 'Cylinder Capacity' however these are in different tables and subforms. The 'max power density' and 'max rated power' are in table and subform 1 but 'cylinder capacity' is in table and subform 2. Is it possible to keep them in separate tables/subforms and still calculate the field?

I need some help on a database that is set up for work use.
It's rather large and I have no technicial knowledge of access whatsoever so an answer in plain english would be appreciated.
I have attached a picture of the screen that i am having the problem with. The blank fields contain peoples names and addresses. On this page i have to click on "update service user" on the first user, the database opens a seperate page and i enter a few details, then i click to go back to this screen.
When I return back to the screen, the scroll bar is at the top of the list. This is OK when I am doing the first few letters of the alphabet (the users are listed alphabetically) but when i have too use the scroll bar and choose the letters later down the list, then click to update then return to the screen and the scroll barr is not where i left it...ie: it's at the top.
So what I am asking is, is there a way of freezing this scroll bar so it will stay there even when i have navigated away from the screen to update each user?
If someone could answer me this query then I would be most grateful as it's quite time consuming for me to use the scroll bar and find the next person that i need to update.

Hi, looking for help big time!! I am a novice at using MS Access and struggling like hell. I have been set a project at University that requires me to import data from Excel, sort the data (i.e the data imported will be for a whole year and I am only interested in looking at single months), use calculations on the data imported and display this graphically. Is this possible with Access?? Any help will be gladly received as Im desperate.:(

I have a multiple user access database on share drive with user-security level created. I created myself as administrator, and remove default Admin from Admin group. Removed permission from user group and joined workgroup file which I created as "MBS work group.mdw". I created shortcut on user's computer. I believe the syntax is correct
"C:Program FilesOffice 2003OFFICE11MSACCESS.EXE" /wrkgrp "\ServerNameMBS DatabaseMBS Work Group.mdw" "\ServerNameMBS DatabaseMBS.mdb"
Everything works fine. When I directly double click the database (MBS.mdb), it pops up a login box. However, when other user double clicks the database directly (not from shortcut) from their station, login window doesn't pop up. It allows them to access the database. I saw the work group file used default System.mdw
My question is how can I restrict them by double clicking the database without go through shortcut? Why my database security not protect user access without give user name and password. I tried by joined user’s work group file to MBS work group.mdw. It works, but I don’t want let user manually to do that one by one.
Is there anybody can help me go through this problem?
